When we began evaluating the future of our website engagement strategy, we faced a familiar challenge. Our existing chatbot solution was going to have a significant price hike at renewal, and we needed a scalable alternative. As discussions began around potential replacements, the question shifted from “What should we buy?” to “What could we build?”

Rather than simply replacing one tool with another, we saw an opportunity to create something more ambitious: an AI-powered assistant that could engage and qualify visitors through a seamless conversational experience. That vision became SAM, an Agentforce SDR agent integrated with CalendarAnything.

What began as an internal initiative quickly evolved into a proof point for how organizations can use agentic AI to modernize customer engagement while creating a reusable foundation for future innovation.

Replacing a critical customer engagement tool

Led by conversations between marketing and product stakeholders, we identified an opportunity to create an AI solution tailored specifically to our business needs. The goal was not only to replicate existing capabilities, but also to demonstrate how modern AI technology could create a more intelligent and flexible experience.

After completing discovery sessions, defining high-level requirements, and securing approval, a development team was assembled and work formally began. From the outset, the project focused on leveraging Salesforce Agentforce as the foundation for the assistant. It enabled us to create a conversational experience that could understand user intent, access trusted information sources, and deliver meaningful responses.

One advantage we quickly realized was that we were not starting from scratch. Years of existing content, documentation, product information, and website assets provided a strong foundation for SAM’s knowledge base. Rather than spending months creating new content, we could focus on making that information accessible through conversation.

As the project progressed, we saw firsthand how rapidly Agentforce capabilities had matured. Improvements across the platform made it easier to design conversational experiences, manage knowledge, and deliver a production-ready solution. The result was not simply a chatbot. SAM became a digital engagement layer capable of guiding visitors, surfacing information, collecting context, and initiating business processes.

Creating a smarter foundation through Data 360

One of the most important architectural decisions involved determining how SAM would access and use information. The initial build relied on Salesforce Knowledge as the grounding mechanism for SAM, providing a structured, curated repository that enabled the assistant to answer questions accurately and consistently.

As the project evolved, we identified an even more scalable approach. Instead of maintaining information in multiple systems, we connected SAM to content sourced directly from the company’s website through Salesforce Data 360. Content published on the website is regularly indexed and made available to the assistant, giving it access to current information without requiring duplicate maintenance.

By allowing SAM to draw from Data 360-powered website content, we ensured that the assistant could evolve alongside the business without creating an additional content management burden.

Bringing scheduling into the conversation

While many SDR agents stop at answering questions, SAM is designed to take action.

A key differentiator is its integration with CalendarAnything. We embedded scheduling directly into the conversational experience, allowing visitors to move from inquiry to meeting booking without leaving the interaction.

When a visitor engages with the assistant, SAM gathers information about their interests and requirements. Based on that conversation, it identifies the appropriate resource and passes relevant details to CalendarAnything. CalendarAnything then evaluates availability and facilitates the scheduling process. Once a meeting is booked, information is automatically synchronized back into Salesforce.

From the user’s perspective, the experience feels effortless. Visitors simply have a conversation and receive available meeting options. Behind the scenes, sophisticated scheduling and routing logic is working to ensure the right person connects with the right prospect at the right time.

Training SAM to understand customers

Developing the technology was only part of the challenge. Equally important was teaching the agent how to understand and respond to real-world questions.

We invested significant effort in testing, refinement, and optimization. Large libraries of questions and keywords were developed to help the assistant recognize customer intent and surface the most relevant information.

Testing involved feeding extensive question sets into the system and evaluating responses. When SAM failed to identify the correct intent or deliver an optimal answer, keywords and configurations were adjusted. Additional questions were then introduced to improve understanding across multiple phrasings and variations.

This process revealed an important reality of conversational AI: users rarely ask the same question in the same way. By exposing SAM to numerous variations of similar requests, we improved the assistant’s ability to interpret intent and deliver helpful responses regardless of how a question was phrased.

Even after deployment, the learning process continues. As more people interact with SAM, the assistant accumulates additional context that helps refine future responses and improve overall user experience.

More than lead generation

Although SAM began as a customer engagement initiative, the final solution delivers value across multiple business functions.

SAM serves as a lead qualification engine capable of collecting information, identifying visitor needs, and routing prospects to the appropriate resources. When leads are created, routing logic determines ownership and ensures the right people receive the right opportunities.

At the same time, SAM also functions as a customer support resource. Users can ask questions about products, capabilities, and features. The assistant can direct individuals to relevant knowledge resources, provide contextual answers, and even facilitate support case creation when additional assistance is required.

Rather than deploying separate systems for separate workflows, organizations can leverage a single intelligent engagement layer across the entire customer lifecycle.

Accelerate your AI journey with SAM

It’s easy to get overwhelmed by the sprawl of AI transformation, but we developed SAM as a way to help others start their journey with a process that we have implemented ourselves.

SAM’s architecture, integrations, routing logic, and conversational framework form a repeatable foundation that we can adapt for other organizations. Rather than rebuilding similar functionality from scratch, we can leverage SAM as an accelerator that shortens deployment timelines and reduces implementation effort.

We start with the core functionality already established and then tailor the experience to fit your own business requirements, processes, and customer journeys. This accelerator approach enables you to realize value faster while maintaining flexibility for future growth, and with AI-assisted development tools like Claudeforce, you can customize the agent as your business needs evolve.

For us, this project delivered more than a replacement for an existing tool. It created a showcase for practical AI adoption that can help other organizations bring conversational AI into their own customer experiences.
